Field selection

Field selection is used when the LMS needs to choose which fields are included in an export or scheduled report.

Fields that contain user detail information, other user fields, or sensitive information are not included unless they are explicitly selected. Sensitive fields are visible only when the administrator has permission to access them.

Download field selection​

Some downloads open the Select fields to include popup before the Excel file is created.

The popup is used when the download contains selectable user-related fields. Feature fields and User overview fields are selected by default. User detail, other user, and sensitive fields must be selected when they are needed in the downloaded file.

Field groups​

The field selector can show these groups:

  • Feature fields – fields specific to the export, such as report result, enrollment, completion, or session fields.
  • User overview – common user-identification fields.
  • User details – user profile fields that are not part of the overview.
  • Other user fields – additional user fields configured for the LMS.
  • Sensitive fields – fields marked as sensitive.

When the selector uses tabs, Feature fields and User overview are under Feature and overview fields. User details, Other user fields, Sensitive fields, and Encryption are under Details and miscellaneous fields.

Encryption​

Downloads can include Encryption with Password (recommended with sensitive data).

When a password is entered, the downloaded Excel file is password-protected. This is especially useful when the export includes sensitive fields or other detailed user information.

Scheduled report field selection​

Scheduled reports use Fields to include with All fields and Selected fields.

When Selected fields is used, the field selector lets the schedule include only chosen fields. Scheduled report field selection does not include the download encryption password field.

Where field selection is used​

Field selection is used in places such as:

  • report downloads from detailed results and detailed aggregate results;
  • scheduled report fields;
  • user list downloads;
  • administrator list downloads;
  • quiz result downloads;
  • course waiting list downloads;
  • course enrolled-user downloads;
  • course response or SCORM variable downloads;
  • event participant downloads for enrolled users, waiting list users, and cost data;
  • user purging search downloads.

Some download actions use fixed fields and do not show field selection.
