Import

Navigate: Menu > Users > Import

User imports create and update users from Excel files. They are used for manual bulk updates when user data is not coming only from an automated integration.

note

Imports are limited by the administrator's permissions. Creating or updating users outside the administrator's scope will fail.

Add new import

The Add users import form contains:

  • Name – the import name.
  • Comment – optional notes about the import.
  • Configuration – import configuration. No predefined configuration updates only users included in the uploaded file.

  • Create – creates the import and opens the import page.

If additional predefined configurations are available, they appear under Configuration with their own descriptions.

Users import page

The users import page contains a status area and three tabs: General, Add users, and Added users.

The page action can include Delete before the import has been committed.

Status

Status shows the current import state and counts.

Before importing, Status can show:

  • users added to the import;
  • users checked for issues;
  • users ready to import;
  • users with errors;
  • users with warnings.

After importing, Status can also show:

  • new users created;
  • existing users updated;
  • users ignored;
  • users blocked or unblocked.

Import statuses include In progress, Validating, Importing, and Imported.

Validate

Validate checks the uploaded data for issues before it is imported.

The Validate section can show:

  • Check for issues – starts validation.
  • validation progress messages;
  • permission messages when validation is not available.

Validation results are summarized in Status and shown per user in Added users tab.

Import

The Import section commits valid users from the uploaded data.

The section can show:

  • Import X users – starts the import for the valid uploaded users.
  • a message when there are no valid users to import;
  • a message when validation is still running.

Validate the data and resolve blocking errors before importing. Importing and setting up users can take time.

General tab

The General tab contains:

  • Name – the import name.
  • Comment – optional notes about the import.
  • Configuration – import configuration.
  • Permission labels – labels controlling access to the import.
  • Save – saves changes to the import metadata.

Add users tab

The Add users tab contains Upload from Excel.

The upload section includes:

  • Download template – downloads an Excel template with the correct field names, types, and formats.
  • file upload for .xlsx or .json import files.

The Excel file must use the field names, types, and formats defined in the LMS. The safest starting point is the current download template.

Added users tab

The Added users tab lists users uploaded into the import.

The table shows columns such as Name, Email, Employee ID, Has errors?, and Has warnings?.

Available actions can include:

  • Download all – downloads all uploaded users.
  • Download invalid – downloads users with validation issues.
  • Clear all – removes uploaded users from the import before it is committed.

Expanding a row shows validation details with columns such as Type, Field, and Message.

Invalid users can be corrected either in the original Excel file or from the Download invalid file. After uploading corrected data, run validation again.

Download template

The template contains the required user field names, field types, and formats for Excel imports.

The template can be downloaded from:

  • the imports list action Download template;
  • the Download template action in the Add users tab.

Use the current template when preparing an import, because user fields and formats can differ between LMS environments.

Import history

The imports list is a standard table.

The table shows columns such as Name, Status, Users, Created, Updated, Errors, Warnings, Source, and Updated.

Status values include:

  • In progress – the import has not been committed.
  • Validating – validation is running.
  • Importing – import is running.
  • Imported – user data has been imported.

Source values include:

  • Manual import – import created in the admin panel.
  • Integration – users received automatically through an integration.

Available actions can include:

  • Download template – downloads the Excel template.
  • Add – creates a new users import.
